I'm a Mac user and work has just updated their PCs to Word 2016 and everything seems to have changed on there. In the good old days you would right click on the heading style, choose Modify and go down to numbering, click the Outline Numbering tab and get to work. But with Word 2016 Windows, the Outline numbering tab has gone from modify heading style. Instead there is the separate outline numbering button on the ribbon. Thanks for your help. I am assuming you are using the built-in heading styles (Heading 1, Heading 2, etc.) for numbering, so these instructions operate under that assumption. If the heading styles are already in use, create a set of styles named Level 1, Level 2, etc. For each outline level. On the Home tab, bring up the Styles launcher. At the bottom of the launcher, click Options. Under Select styles to show, select All Styles. Under Select how list is sorted, select Alphabetical. Uncheck the 5 boxes below it, select only in this document, click OK. Scroll through the list of styles until the Heading 1, 2, 3, etc. Styles are visible. Insert a paragraph in the document. It can be blank or have some placeholder text, whichever you prefer. ![]() Make sure it is Normal styled (use the Clear All Formatting button on the Home tab in the Font group, above the Font Color dropdown.) Ignoring numbering for the moment, apply whatever direct formatting you want to the paragraph (font size, color, alignment, space before/after, keep with next, etc.) Once the direct formatting is in place, right click Heading 1 in the style launcher, and select Update Heading 1 to Match Selection. First off, because it is IMO the most important part, select Heading 1 under Link Level to Style. Select whatever other numbering options you want for Heading 1, but don't click on OK just yet. (Note that Text Indent At is basically a hanging indent, so set that to 0 if you don't want any hanging indent.) Once level 1 is finished, click on 2 under Level to Modify and repeat the same process of modifying each level. Don't forget to link levels to styles! Level 1 should be linked to Heading 1, level 2 to Heading 2, etc. Once you're at 2, you probably want to have it set up to restart after 1, so don't forget to select that for level 2 and each additional level after that. Repeat for each other level you want select, then click OK. Save the document as a template. Backup the template somewhere where it can't be accidentally edited as well. As someone who does this kind of thing for a living, there are some things I would highly recommend you pass along to your trainees. First, if the numbering needs modified for whatever reason, do so by going to the FIRST instance of a Level 1 heading, right click on the number and select Adjust List Indents. Anywhere else and it could lead to the numbering getting jacked up. Second, teach them to use the Heading styles you created to apply numbering to paragraphs and NOT the multilevel list dropdown. Third, if they don't know what styles are, teach them. Finally, it's not necessary to reinsert a TOC if it needs updated, just put the cursor anywhere on it and press F9. I hope this helps.
